# Migrate from HubSpot

> How to export your contacts, deals, companies, and CRM data from HubSpot and import it into Knowlix

This guide walks you through migrating your HubSpot CRM data to Knowlix. Before you start, make sure your HubSpot user account has **Export permissions** — without this permission, the export option will not be visible.

## What You Can Migrate

HubSpot stores CRM data across separate object types. You can export each object type individually:

* **Contacts** — individual people in your CRM
* **Companies** — organizations linked to contacts and deals
* **Deals** — sales opportunities in your pipeline
* **Tickets** — customer support cases
* **Email history** — communication logs associated with contacts
* **Custom properties** — any additional fields you have set up on objects
* **Lists and segments** — saved contact lists and filters

## Step 1: Export Your Data from HubSpot

HubSpot exports are done per object type. You will need to repeat these steps for Contacts, Companies, Deals, and any other object you want to migrate.

**To export an object (e.g., Contacts):**

1. Sign in to [HubSpot](https://app.hubspot.com)
2. In the top navigation, go to **CRM > Contacts** (or **Companies**, **Deals**, **Tickets**)
3. In the top right, click **Actions > Export**
4. In the export dialog:
   * **File format:** Select **CSV** (recommended — no column limit)
   * **Associated records:** Choose how many associated records to include per row:
     * *Up to 1,000 associated records (default)*
     * *All associated records (CSV only)*
   * Select the **properties (columns)** you want to include, or export all
5. Click **Export**
6. HubSpot will send a **download link to your email** when the export is ready
7. Open the email and click **Download** to save the CSV to your computer

  **Download links expire after 30 days.** Make sure to download your export files before they expire.

### Why CSV is Recommended

| Format | Column limit   | Associated records |
| ------ | -------------- | ------------------ |
| CSV    | No limit       | Up to all          |
| XLS    | 256 columns    | Default only       |
| XLSX   | 16,384 columns | Default only       |

If your HubSpot data has many custom properties, export as **CSV** to avoid hitting column limits in XLS/XLSX formats.

### Exporting Email History and Activity

To export contact activity and email logs:

1. Go to **CRM > Contacts**
2. Open an individual contact record
3. In the **Activity** tab, email history is visible but must be exported via HubSpot's **Reporting & Data > Data Management > Export** for bulk extraction

For a full data backup including all object types and associations, go to:
**Settings (⚙) > Data Management > Import & Export > Export all data**

## Step 2: Upload to Knowlix

Once you have your CSV files from HubSpot:

1. Go to **Settings > Import** in Knowlix
2. Select **HubSpot** as the source platform
3. Upload your CSV files one object type at a time (Contacts first, then Companies, then Deals)
4. Knowlix will automatically detect column headers and suggest field mappings

## Step 3: Review & Confirm

Before the import is finalized, Knowlix shows you a field mapping preview. Here you can:

* Verify that HubSpot properties (e.g., "First Name", "Deal Stage", "Amount") are correctly matched to Knowlix fields
* Map HubSpot deal stages to the equivalent Knowlix pipeline stages
* Choose whether to import contacts with missing email addresses
* Click **Confirm Import** to start the migration
