# Migrate from Zoho

> How to export your data from Zoho CRM and import it into Knowlix

This guide walks you through migrating your Zoho CRM data to Knowlix. Before you start, make sure you have **admin access** to your Zoho CRM account — only admins can access the Export option under Data Administration.

## What You Can Migrate

Zoho CRM stores data in separate modules. You can export each module individually:

* **Leads** — prospective customers who have shown interest
* **Contacts** — individual people linked to accounts
* **Accounts** — companies or organizations
* **Deals (Opportunities)** — active and closed sales opportunities
* **Activities** — calls, tasks, and meetings
* **Notes** — text notes attached to records
* **Custom fields** — any additional fields you have configured

## Step 1: Export Your Data from Zoho CRM

Zoho exports each module as a separate CSV file. You will need to repeat this process for each module you want to bring into Knowlix (e.g., Leads, Contacts, Accounts, Deals).

**To export a module:**

1. Sign in to [Zoho CRM](https://crm.zoho.com) as an admin
2. Click the **gear icon (⚙)** in the top-right corner to open **Setup**
3. Under **Data Administration**, click **Export**
4. Select the **module** you want to export from the dropdown (e.g., Contacts)
5. Optionally set a **criteria** (e.g., filter by Created Time) to narrow down records
6. Click **Export** — Zoho will prepare a `.zip` file containing your CSV
7. Once ready, click the **download link** to save the file to your computer

  **Download link validity:** The export download link is valid for **7 days**. Download it promptly after the export is ready.

### Export Limits

| Data Type               | Limit per Export           |
| ----------------------- | -------------------------- |
| Module records          | 200,000 records per module |
| Notes                   | 3,000 notes per export     |
| Report rows (formatted) | 2,000 rows                 |
| Report rows (detailed)  | 50,000 rows                |

If you have more than 200,000 records in a single module, split the export by date. For example:

* Export 1: Created Time is before Jan 1, 2023
* Export 2: Created Time is after Jan 1, 2023

### Exporting Notes Separately

To export notes attached to records:

1. Go to **Setup > Data Administration > Export**
2. Click the **Notes** tab
3. Select the module whose notes you want to export
4. Click **Export Notes** — a CSV file will download (max 3,000 at a time)

## Step 2: Upload to Knowlix

Once you have your CSV files from Zoho:

1. Go to **Settings > Import** in Knowlix
2. Select **Zoho CRM** as the source platform
3. Upload your exported CSV files one module at a time
4. Knowlix will automatically detect the module type and map the columns

## Step 3: Review & Confirm

Before the import is finalized, Knowlix shows you a field mapping preview. Here you can:

* Verify that Zoho columns (e.g., "Last Name", "Account Name") are correctly matched to Knowlix fields
* Correct any mismatches by using the dropdown to reassign columns
* Choose whether to skip or import records with missing required fields
* Click **Confirm Import** to start the migration
