Knowlix Surveys creates questionnaires, assessments, certifications, feedback forms, and customer satisfaction measurements. Gather insights from customers, employees, event attendees, and other stakeholders through customizable online surveys with scoring, branching logic, and comprehensive analytics. Survey capabilities span simple feedback collection to complex certification programs with passing scores, time limits, and automated certificate generation. Design multi-page surveys with conditional question display, randomized question selection, and scoring algorithms that evaluate participant performance. Real-time analytics display responses as they arrive, with visualizations showing answer distributions, completion rates, and performance metrics. Live session surveys enable interactive presentations where audience responses drive conversation flow, making them ideal for workshops, training sessions, and interactive events. Integration with CRM, events, and eLearning systems connects survey data to broader business processes. Lead scores update based on survey responses. Course completions trigger certification surveys. Survey Dashboard

The Surveys dashboard displays all created surveys with key metrics.

Dashboard Display

Default kanban view shows:
  • Survey name and responsible person
  • Number of questions
  • Average completion time
  • Registered participants
  • Completion count
  • Pass/fail percentages (if scoring enabled)
  • Certification status (if certification enabled)
Additional indicators: Half-trophy icon indicates certification surveys. List view option: Click list icon in upper-right corner to display surveys in table format with columns:
  • Survey Title
  • Responsible
  • Average Duration
  • Registered
  • Success Ratio
  • Average Score

Dashboard Actions

Per-survey buttons: Share: Opens sharing dialog with survey link and email invitation options. Configure recipients, subject, message template, and send deadline. Test: Launches survey in new tab from participant perspective to verify functionality and flow. See results: Opens detailed analytics page with response visualizations and participant data. Start Live Session: Initiates interactive live survey session (not available for certifications). End Live Session: Terminates active live session. Additional options menu (three dots):

Creating Surveys

Design surveys with customized questions, options, and workflows.

Survey Form Configuration

To create surveys:
  1. Navigate to Surveys → New
  2. Enter Survey Title
  3. Select Survey Type (radio buttons at top):
    • Survey: Standard feedback collection
    • Live Session: Interactive real-time polling
    • Assessment: Scored evaluations with pass/fail
    • Custom: All options available
  4. Assign Responsible person
  5. Optionally add Background Image
  6. Configure tabs (Questions, Options, Description, End Message)
  7. Save

Questions Tab

Add questions: Click Add a question to open question creation dialog. Question types available:
  • Multiple choice: Single or multiple answers
  • Multiple choice: only one answer: Radio buttons
  • Multiple choice: multiple answers allowed: Checkboxes
  • Text Box: Short text responses
  • Multiple Lines Text Box: Long text responses
  • Numerical Value: Number input
  • Date: Date picker
  • Datetime: Date and time selection
  • Matrix: Grid of questions with same answer options
Question configuration:
  • Question text
  • Description/help text
  • Mandatory answer requirement
  • Conditional display rules
  • Answer options (for multiple choice)
  • Validation rules (for numeric/text)
  • Scoring values (for assessments)
Sections: Click Add a section to group related questions. Sections help organize long surveys and enable page-by-page presentation. Drag questions into sections to create logical groupings. Randomized questions: If Randomized per Section is enabled in Options tab, specify how many questions from each section to show randomly to each participant.

Options Tab

Questions section: Pagination:
  • One page per question
  • One page per section

Display Progress as:
  • Percentage left
  • Number (questions answered / total questions)
Question Selection:

Allow Roaming: Enable to let participants navigate back to previous pages. Time & Scoring section: Survey Time Limit: Set maximum completion time in minutes. Survey ends when time expires. Scoring:
  • No scoring
  • Scoring with answers after each page
  • Scoring with answers at the end
  • Scoring without answers
Required Score (%): Minimum percentage to pass (enables pass/fail status). Is a Certification: Enable to designate survey as certification. Configure:
  • Certification template design
  • Certified email template (sent to passing participants)
  • Badge award for certified participants
Participants section: Access Mode:
  • Anyone with the link
  • Invited people only
Require Login: Force authentication before survey access. Limit Attempts: Restrict how many times participants can take survey. Live Session section: Session Code: Custom code participants enter to join live session. Session Link: URL for live session access (automatically includes session code).

Description Tab

Enter survey introduction text displayed before participants start survey. Explain purpose, estimated time, and what participants should expect.

End Message Tab

Configure thank-you message displayed after survey completion. Include next steps, contact information, or additional resources. 💡 Survey Design Tip: Start with clear objective. Every question should serve survey purpose. Remove questions that don’t directly contribute to insights needed.

Question Configuration

Multiple Choice Questions

To create multiple choice:
  1. Click Add a question
  2. Select question type (single answer or multiple answers)
  3. Enter question text
  4. Add answer choices (click Add a line)
  5. For assessments, assign scores to each answer
  6. Mark correct answers (for assessments)
  7. Set mandatory requirement if needed
  8. Save
Answer options: Each answer can have:
  • Label (text displayed)
  • Score value (for assessments)
  • Correctness indicator (for assessments)
Conditional display: Show questions only if previous questions answered specific ways.

Text and Numeric Questions

Text input options:
  • Text Box: Single line (names, emails, short answers)
  • Multiple Lines Text Box: Paragraphs (feedback, explanations)
Numeric input options:
  • Numerical Value: Any number
  • Set min/max constraints
  • Assign correct answer range (for assessments)
Validation: Configure input validation rules:
  • Required format (email, phone)
  • Character limits
  • Numeric ranges

Date Questions

Date/Datetime input: Select Date or Datetime question types for temporal data collection. Use cases: birth dates, appointment preferences, event registration dates.

Matrix Questions

Create matrix grids: Ask multiple related questions using same answer scale. Configuration:
  • Matrix rows: Individual questions
  • Matrix columns: Answer options
  • Required/optional designation
  • Single or multiple selection per row
Use case: Rating multiple product features on same satisfaction scale (Very Dissatisfied to Very Satisfied).

Survey Scoring

Evaluate participant performance and satisfaction levels.

Enabling Scoring

To add scoring:
  1. Open survey form
  2. Navigate to Options tab
  3. In Time & Scoring section, select scoring option:
    • Scoring with answers after each page
    • Scoring with answers at the end
    • Scoring without answers
  4. Set Required Score (%) for pass threshold
  5. Save
Scoring with answers: Participants see correct/incorrect feedback after questions or at survey end. Scoring without answers: Participants don’t see scores or correct answers (useful for assessments where you don’t want to reveal answers).

Assigning Question Scores

For multiple choice: Assign point values to each answer option. Correct answers typically receive positive scores, incorrect answers zero or negative scores. For numeric/text questions: Define correct answer or acceptable answer range. Points awarded when response matches criteria.

Pass/Fail Determination

Required Score (%): Participants scoring at or above threshold pass. Scores below threshold fail. Dashboard display: Pass/fail statistics appear on survey dashboard showing percentage of participants passing.

Certifications

To enable certifications:
  1. Enable scoring
  2. Set required score
  3. Enable Is a Certification option
  4. Select or create certification template
  5. Configure certified email template
  6. Optionally enable badge awards
  7. Save
Certification generation: Participants meeting required score automatically receive:
  • Downloadable certificate with their name and achievement date
  • Email notification with certificate attached
  • Badge displayed on their contact/profile page (if enabled)
💡 Certification Best Practice: Set realistic pass thresholds (typically 70-80%). Too high creates frustration, too low diminishes certification value.

Live Session Surveys

Interactive real-time polling for presentations and events.

Live Session Concept

Live sessions enable presenters to poll audiences in real-time during presentations. Responses appear instantly, allowing presenters to adapt content based on audience input. Use cases:
  • Workshop polls and quizzes
  • Conference audience engagement
  • Training assessments
  • Product feedback sessions
  • Team meetings and retrospectives

Creating Live Sessions

To set up live session:
  1. Create survey (select Live Session type)
  2. Add questions
  3. In Options tab, configure:
    • Session Code: Custom code for participant access
    • Session Link: URL participants use to join
  4. Save survey
  5. Click Start Live Session on dashboard
Session manager window: Presenter controls displayed in separate window:
  • Current question display
  • Response counts and percentages
  • Controls to advance to next question

  • End session button

Running Live Sessions

Presenter workflow:
  1. Share session code or link with participants
  2. Participants join via mobile devices or laptops
  3. Presenter displays first question
  4. Participants submit responses
  5. Presenter reveals results (charts/graphs)
  6. Presenter advances to next question
  7. Repeat until survey complete
  8. End session
Participant experience:
  1. Enter session code or click link
  2. Wait for questions to appear
  3. Submit answer when question appears
  4. See confirmation or results (based on settings)
  5. Wait for next question
Real-time results: Response visualizations update live as participants answer. Results Overview

To view results: Click See results button on survey dashboard line. Results page displays:
  • Survey title and description
  • Filter options (All Surveys vs. Completed Surveys)
  • Pass/Fail filter (if scoring enabled)
  • Print button for reports
  • Results Overview summary section
  • Question-by-question analysis
Results Overview metrics:
  • Total participants
  • Completion rate
  • Average score (if scoring enabled)
  • Pass percentage (if applicable)
  • Average completion time
  • Response time distribution

Question Analysis

For multiple choice questions: Pie chart (single answer questions): Shows answer distribution. Correct answers marked with checkmark. Bar chart (multiple answer questions): Displays selection frequency for each option. Graph tab vs. Data tab:
  • Graph: Visual representation
  • Data: Tabular listing of answers, percentages, votes, scores
For text/numeric questions: Most Common tab: Lists most frequent responses with occurrence counts. All Data tab: Complete list of all submitted responses. For numeric questions: Displays maximum, minimum, and average values.

Filtering Results

Filter by response: Click filter icon next to specific answer to see all responses from participants who selected that answer. Example use: View all responses from participants who rated satisfaction as “Very Dissatisfied” to identify common pain points. Remove filters: Click Remove all filters or X icon to reset view.

Participations View

To view individual responses:
  1. Open survey form
  2. Click Participations smart button
  3. Select participant from list
  4. Review their complete response set
Participations page shows:
  • Participant name/email
  • Completion status
  • Score (if applicable)
  • Pass/fail status
  • Completion time
  • Detailed answers to each question
All participations list: Navigate to Surveys → Participations to see participants across all surveys in nested list format.

Survey Distribution

Sharing Surveys

To share surveys:
  1. Click Share button on dashboard
  2. Configure sharing method:
    • Copy survey link for manual distribution
    • Enable Send by Email for direct invitations
  3. If sending email:
    • Add recipients (contacts or email addresses)
    • Customize subject line
    • Edit email template
    • Set answer deadline
    • Add attachments
  4. Click Send
Access modes: Anyone with the link: Survey accessible to anyone with URL. Participants don’t need accounts or invitations. Invited people only: Only specified recipients can access. Requires sending invitations. Login requirements: Enable Require Login in Options tab to force authentication before survey access. Survey links can be:
  • Emailed directly from Knowlix
  • Posted on websites or social media
  • Embedded in other communications
  • Included in QR codes for physical materials
Tracking: All survey responses track participant information (if logged in) or anonymous responses (if not logged in and not required).

Survey Best Practices

Keep Surveys Focused and Concise

Limit surveys to 5-10 questions when possible. Longer surveys see higher abandonment rates. Each additional question reduces completion percentage.

Use Clear, Unbiased Question Language

Avoid leading questions that suggest desired answers. Use neutral wording. Test questions with colleagues to identify ambiguity or bias.

Provide Progress Indicators

Enable progress display to show participants how much survey remains. This reduces abandonment for longer surveys.

Test Before Distribution

Take survey yourself multiple times. Test on different devices. Verify scoring calculations, branching logic, and email notifications work correctly.

Set Realistic Completion Times

Most participants complete surveys during brief breaks. Design for 5-10 minute completion if possible. Longer surveys require explicit time warnings.

Make Questions Optional When Appropriate

Only mark questions mandatory if absolutely necessary for analysis. Forced responses on sensitive topics increase abandonment.

Use Appropriate Question Types

Match question type to data needed. Don’t use text boxes when multiple choice would suffice. Don’t force single answers when multiple selections apply.

Pilot Test with Small Group

Before mass distribution, send to small representative sample. Review initial responses for data quality issues or question confusion.

Don’t collect feedback without action plans. Share survey results with stakeholders. Document action items based on feedback. Close feedback loop by communicating changes made.

Respect Participant Time

Thank participants for completing surveys. For longer surveys, consider incentives. Never re-survey same audience without significant time gap.

Ensure Mobile Compatibility

Many participants complete surveys on mobile devices. Test survey display on phones and tablets. Keep questions mobile-friendly with minimal typing.

Maintain Anonymity When Promised

If survey promises anonymity, configure access mode and reporting appropriately. Don’t require login for anonymous surveys.

Troubleshooting Common Issues

Survey Not Displaying Correctly

Possible causes:

Low Response Rates

Resolution: Review each question’s scoring configuration. Verify correct answers marked. Test scoring with known-correct responses.

Live Session Not Starting

Possible causes:
  • Certification option enabled (incompatible with live sessions)
  • Browser pop-up blocker
  • Network connectivity issues
  • Insufficient permissions
Resolution: Verify certification disabled. Allow pop-ups for session manager window. Check internet connection. Verify user has survey management rights.

Participants Can’t Access Survey

Possible causes:
  • Access mode set to “Invited people only” but invitations not sent
  • Login required but participants lack accounts
  • Survey link expired or incorrect
  • Survey archived or deleted
Resolution: Verify access mode matches distribution method. Check login requirements. Regenerate and send correct link. Confirm survey active status.
