Overview

Knowlix includes a powerful rich-text editor for creating formatted content throughout the system. Use it to compose internal notes, product descriptions, email templates, documentation, and more. The editor supports standard formatting (bold, italic, colors), structural elements (lists, tables, headings), media embedding (images, videos, files), and advanced features like AI-assisted writing. Two ways to use the editor:
  • Toolbar: Select text to reveal formatting options
  • Slash commands: Type / to access a command menu for inserting elements

Formatting Toolbar

When you select text in the editor, a floating toolbar appears with formatting options.

Text Styles

Style dropdown: Transform text into different semantic styles:
  • Header 1-6: Section headings (largest to smallest)
  • Paragraph: Standard body text
  • Code: Monospace code formatting
  • Quote: Blockquote for quotations

Character Formatting

Basic formatting:
  • B (Bold): Make text bold (Ctrl/Cmd + B)
  • I (Italic): Italicize text (Ctrl/Cmd + I)
  • U (Underline): Underline text (Ctrl/Cmd + U)
  • S (Strikethrough): Strike through text
Colors:
  • A (Text color): Change font color
  • Paintbrush (Background color): Change highlight color
Color options:
  • Solid: Choose from preset color palette
  • Custom: Use color wheel or enter hex/RGBA values
  • Gradient: Apply linear or radial gradients

Font Size

Adjust text size using the font size control. Choose from preset sizes or enter a custom value.

Lists

  • Bullet list: Create bulleted lists
  • Numbered list: Create numbered lists (1, 2, 3 or A, B, C)
  • Checklist: Create interactive checklists with checkboxes
Keyboard shortcuts:
  • Type * or - to start a bulleted list
  • Type 1. or 1) to start a numbered list
Insert hyperlinks to web pages, files, or other Knowlix records. To add a link:
  1. Select text
  2. Click the link icon
  3. Enter the URL
  4. Optionally add a title (tooltip text)
  5. Click Apply

Translation

If your Knowlix installation has multiple languages enabled, the translation button appears. Click it to manage content translations across languages.

AI Writing Assistance

The AI assistant helps you improve or generate content. Available AI actions:
  • Correct: Fix grammar and spelling
  • Shorten: Make text more concise
  • Lengthen: Expand text with more detail
  • Friendly: Adjust tone to be warmer and personable
  • Professional: Adjust tone to be formal and business-appropriate
  • Persuasive: Make text more compelling
To use AI assistance:
  1. Select text (or leave blank for generation)
  2. Click the AI icon
  3. Choose an action
  4. Review the suggestion
  5. Accept or reject
💡 Agent Integration: Knowlix Teammates uses the same AI capabilities. You can also simply tell Your Knowlix: “Make this email more professional” or “Correct the grammar in this description”

Slash Commands (Powerbox)

Type / anywhere in the editor to open the command menu. This provides quick access to insert various elements without using the toolbar.

Table management: Hover over table columns or rows to reveal the menu for adding, deleting, or moving them. Insert colored notification banners to draw attention to important information.

Working with Images

Images can be inserted via /Media command or by clicking the image icon in the tooltip.

Adding Images

Three methods: 1. Image Library: Browse and select from previously uploaded images in your Knowlix library. 2. Upload: Select an image file from your computer. 3. URL: Paste a direct image URL to embed it.

Image Formatting

Click any inserted image to reveal the image toolbar with these options: Preview: View full-size image, zoom, print, or download. Shape:
  • Rounded: Slightly rounded corners
  • Circle: Circular crop (best for profile images)
Effects:
  • Shadow: Add drop shadow
  • Border: Add colored border
  • Padding: Add space around image (small/medium/large/extra-large)
Size:
  • Default: Reset to original size
  • 100%: Full width
  • 50%: Half width
  • 25%: Quarter width
Transform:
  • Resize: Drag corners to resize manually
  • Rotate: Rotate the image
  • Crop: Manually crop or use preset aspect ratios (16:9, 4:3, 1:1, 2:3, flexible)
Replace: Swap the current image with a different one without changing formatting. Link: Make the image clickable, linking to a URL or file. Delete: Remove the image from the document. 💡 Optimization: Resize large images before uploading to improve page load times. Aim for web-optimized sizes (under 500KB for most uses).

Working with Files

Embed downloadable files directly in your content.

Adding Files

To attach a file:
  1. Use /Upload a file command
  2. Select file from your computer or provide URL
  3. The file appears as a download box with file name and icon
  4. Users can click to download
Supported file types: Documents (PDF, DOC, XLS), images, archives (ZIP), media files, and more.

File Management

Replacing files: Click the file box and select a replacement file. Removing files: Click the file box and select delete.

Embedding Videos

Embed videos from popular platforms directly in your content. Supported platforms:
  • YouTube
  • Vimeo
  • Dailymotion
  • Youku
To embed a video:
  1. Copy the video URL from the platform
  2. Use /Video Link command (or Link button)
  3. Paste the URL
  4. The video embeds as a player
Videos display as embedded players that users can watch without leaving Knowlix.

Advanced Features

Drag and Drop Reordering

Hover over any element (paragraph, table, image, heading) to reveal a drag handle icon. Click and hold to drag elements to different positions in your content.

Table of Contents

For long documents, automatically generate a table of contents based on your heading structure. To add a TOC:
  1. Use /Table of Content command
  2. A TOC is generated with links to all headings
  3. As you add or modify headings, the TOC updates automatically

Reusable Snippets (Clipboard)

Save frequently used content blocks as clipboard items for reuse across different documents. To save a snippet:
  1. Use /Clipboard command
  2. Create your reusable content
  3. The snippet is saved for use in other documents

Best Practices

Keep It Readable

Use headings, lists, and spacing to break up long blocks of text. Walls of text are hard to read and understand.

Consistent Formatting

Maintain consistent styles throughout your document. Don’t mix heading levels arbitrarily or use different colors for the same purpose.

Optimize Images

Compress images before uploading. Large images slow down page loading and use unnecessary storage.

Use Semantic Elements

Use proper elements for their intended purpose. Headings for headings, lists for lists, not just for visual appearance. This improves accessibility and structure. After adding links, test them to ensure they point to the correct destination.

Leverage AI Thoughtfully

AI assistance is powerful but not perfect. Always review AI-generated content for accuracy and appropriateness.
